Questions, answered.
How long until a workflow is live?
Most first workflows are delivered in two to four weeks. We scope in week one, build and test in a staging environment, then deliver with documentation and a handoff session.
Do we need engineers on our side?
No. Vertex handles the build and the integrations. We'll need a point of contact who knows the process and can grant access to the relevant systems.
What counts as one workflow?
A workflow is one end-to-end automation — a trigger, the logic in between, and the actions it takes. We'll help you decide where one workflow ends and another begins during scoping.
What does ongoing support cover?
Ongoing support keeps your automations current as your business changes — maintenance, adjustments, monitoring, and a dedicated point of contact. It's optional but recommended.
Is pricing in CAD?
Yes. All pricing is in Canadian dollars plus applicable taxes.
What if we want to start small?
Ignite is designed for exactly that — one focused automation with immediate ROI. Most clients upgrade to Elevate or Titan once they see the first workflow running.
How does the engagement process work, step by step?
Every engagement follows the same path: Scope (we map your process and agree on what to automate first), Connect (we wire up your tools), Automate (we build and test the workflow against real cases), Monitor (we run it live and tune it), and Scale (we expand once the first is proven). You see a working result early instead of waiting on a long build.
How do we get started?
It starts with a short conversation. You tell us how the work runs today and where the time goes; we tell you honestly where automation would help, what we'd tackle first, and roughly what it would take. From there we scope the first workflow and agree on the deliverables before any building begins.
Who on our team needs to be involved?
One point of contact who knows the process and can grant access to the relevant systems. We handle the build and the integrations. During scoping we'll need a little of their time to map how things actually work; after that, your involvement drops to reviewing and approving.
What happens in the discovery and scoping session?
We map your real process end to end — the triggers, the rules, the handoffs, and the points where a person must stay in control. We find where time and value are leaking and agree on what to automate first based on impact. You leave with a clear picture of what's worth automating, whether or not you build with us.
Do we own the automations you build for us?
Yes. The workflows run in your own tools and accounts, and you get full written documentation for every one. There's no long-term lock-in — if you ever stop working with us, the automations keep running and you have everything you need to maintain them.
How do you keep our data and systems secure?
We connect through each tool's official, supported integrations, request only the access a given workflow actually needs (least privilege), and keep a human in the loop for sensitive steps. We work within your security boundaries and are glad to talk through your specific requirements before anything goes live.
What happens if our process changes after the build?
Workflows change, and the automation changes with them. Adjusting timing, rules, or steps as your business evolves is a normal part of ongoing support, not a new project. It's also why we recommend automating processes once they've settled into a stable shape.
Will automation replace people on our team?
No. We automate the repetitive, rule-based busywork — data entry, routing, follow-ups, reporting — not the judgment, relationships, and skilled work your team is there to do. In practice it lets a team handle more without adding headcount and gives the people you have their time back.
Which tools and platforms do you work with?
We build around the tools you already use — CRMs, email and marketing platforms, Google Workspace and Microsoft 365, finance and support tools, and more. The rule is simple: if it has an API, we can automate around it. We only recommend a new tool when it's genuinely worth it.
What happens if an automation breaks?
We build monitoring in from the start, so workflows flag exceptions and surface problems rather than failing silently. With ongoing support we watch your automations in production, catch edge cases, and fix them — automation you don't watch is a liability, so we don't leave it unwatched.
Can you work with our existing tools, or do we need new ones?
We work with your existing stack in almost every case. The problem is usually that your tools don't talk to each other, not that one is missing — and connecting them is often the highest-value thing we do. We only suggest a change when a tool is genuinely limiting you.
